Sharing/Creating a Google Calendar

Google’s Calendar will help you to organize your group or committee’s schedule with ease.  This app will even allow you to schedule your personal calendar around your group’s calendar.

The very first step for your group or committee would be to create your calendar.  Creating a new calendar is simple.  Google takes you through this step by step on their Create a New Calendar help page.

  1. Click the drop-down arrow to the right of My calendars.
  2. Select Create new calendar.
  3. You need to enter the general information (Calendar NameDescription, Location, Calendar Time Zone)for your group calendar.
  4. At this point you need to decide if your calendar is going to be public or shared with only specific individuals.
    • Sharing with the Public – Sharing your calendar with the public allows anyone access to your calendar. You make your calendar public by checking the box next to Share this calendar with others. You can then choose if you want to make it public to the entire world (by selecting Make this calendar public) or select Share this calendar with everyone in the organization St. Mary's College of MD to share the calendar only with those who are at St. Mary’s College of MD. You can allow them to fully view your calendar and events or you can hide your specific event details and only show when you are busy or free.  You choose the option you would like in the drop down menu next to the option you chose for making your calendar public.
    • Sharing with Specific Individuals- If you do not want the calendar public and you only want to share it with members of your group or organization then you should choose the option to share with specific people.  In order to do this, you type in the individuals’ Email address under the section titled Share with Specific People.  You can choose the type of access (Make Changes AND Manage Sharing, Make Changes to Events, See All Event Details, or See Only Free/Busy) you give each individual in the drop down menu next to their Email address.
  5. Click the Create Calendar button.

If you do not want the calendar public and you only want to share it with members of your group or organization then you should choose the option to share with specific individuals.  Google will walk you through sharing with specific people on their Share your calendar with specific users help page.

Sharing with the public

Sharing your calendar with the public allows anyone access to your calendar.  You can share with the entire world or just St. Mary’s College. You can allow them to fully view your calendar and events or you can hide your specific event details and only show when you are busy or free.  Please take a look at Google’s Make your calendar public help page to get step by step directions on making your calendar public.

You can easily move events from your personal calendar to your group calendar and vice versa.  Open the event you want to copy or move by clicking on the event on your calendar and choose Edit event. In the More actions drop down menu, you can choose to copy the event to the calendar you want. Google explains this on their Move an event between calendars help page.
